KidsPlay Early Learning Privacy Policy explains how KidsPlay collects, holds, uses and discloses personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles and any applicable privacy codes.

Collection of Personal Information

Purpose

KidsPlay collects and holds personal information that is reasonably necessary for or related to delivering early childhood education and care, managing enrolments, promoting the wellbeing, protection and development of children, and operating our services. We will only use personal information for the purpose it was collected or a reasonably expected related purpose.

Kinds of Information Collected We may collect:

  • Parents/guardians/stakeholders: name, gender, address, phone numbers, email, bank details, credit card details, Tax File Number, Centrelink Customer Reference Number (CRN), custody arrangements and other information relevant to services.
  • Children: name, former name, gender, address, CRN, immunisation status, date/place of birth, birth certificate, Medicare number, custody/parenting orders, dietary requirements, languages spoken, doctor details, medical conditions, additional needs, photographs/videos, samples of work, and other information required for individualised care.
  • Employees and applicants: contact details, resume/CV, employment history, qualifications, working-with-children and police checks, referee comments.
  • Website/technical: IP address, device/browser information, pages visited, cookies and analytics data.

Method of Collection

We normally collect personal information directly from you via forms, email, telephone, in-person and on our website. Photos, videos and work samples are collected at the child’s service. In some circumstances we may collect information indirectly (for example, from third parties or government agencies) where direct collection is impractical; we will notify you where required.

Sensitive Information

We may collect sensitive information (for example, racial or ethnic origin, religious or cultural requirements, medical and immunisation records, additional needs) when necessary for the child’s care or where required by law. Sensitive information is collected only with consent where required and stored securely.

If you choose not to provide requested personal or sensitive information, we may be unable to enrol your child or provide certain services. Please discuss any concerns with us directly.

Use and Disclosure of Personal Information We use personal information to:

  • Provide and manage early childhood education and care services;
  • Support child wellbeing, safety and development;
  • Document children’s learning and manage enrolment and attendance;
  • Communicate with families (letters, email, SMS, surveys);
  • Process payments and manage employment applications.

 

We may disclose personal information to:

  • KidsPlay staff and approved providers who need it to deliver services;
  • Third-party service providers (payment processors, IT/cloud providers, legal advisors, background check providers), including providers that may be located overseas — we take reasonable steps to ensure they comply with applicable privacy obligations;
  • Child protection or family support agencies when we reasonably believe a child is at risk of significant harm;
  • A purchaser of our business or part of it where assets/operations are sold as a going concern;
  • Other parties where required or authorised by law, or with your consent.

 

We do not sell children’s personal information and limit disclosures to purposes consistent with collection.

Direct Marketing

Where contact details are collected directly and you would reasonably expect marketing contact, we may send information about KidsPlay services. Electronic communications will include an unsubscribe option and we will stop marketing when requested.

Access and Correction

You may request access to or correction of personal information we hold about you or your child by contacting your service’s approved provider. We will take reasonable steps to correct inaccurate, incomplete or out-of-date information. In limited circumstances permitted by law (for example, where access would put someone at risk) we may refuse access and will explain the reason.

Personal information is stored securely in paper or electronic form at KidsPlay services and may be stored, processed or backed up on servers (including overseas) used by third-party service providers. Access is restricted to authorised staff and service providers. We take reasonable steps to protect personal information from unauthorised access, modification, loss or disclosure and to ensure appropriate safeguards where overseas transfers occur.

When you visit our website we may collect technical information such as IP address and domain name. Our website may use cookies and analytics. We are not responsible for the privacy practices of external websites linked from our site.

Retention

We retain personal information only as long as necessary for the purposes for which it was collected, to meet legal or regulatory requirements, or to resolve disputes. When no longer required we delete or de-identify information securely.

Amendments to this Policy

We may update this policy from time to time. Updated versions will be posted on our website. Continued use of our services after changes indicates acceptance of the updated policy.

This notice is provided for information and does not limit or exclude your rights under the Privacy Act 1988.
